The handbook is four pages and covers everything from your first pre-season meeting with the coaching staff to end-of-season financial reporting. Here's what's inside:

Your Role

  • You are the bridge between coaches and families β€” not a coach yourself
  • Send weekly team emails with clear directions and deadlines
  • Handle scoresheet and roster submissions with the Registrar
  • Coordinate tournament logistics and volunteer management
  • Let the coaches coach β€” player decisions are not your call

Team Funds

  • NH Selects covers coaching payroll β€” team funds are for team-specific costs only
  • Open a team bank account with Venmo/Zelle capability
  • Set the season budget early and communicate it to families upfront
  • Provide monthly financial accounting to both families and the club Treasurer
  • Collect funds in the first half of the season β€” don't chase families in January

Season & Budget Planning

  • Hold a pre-season meeting with coaches to confirm tournament count and playoff expectations
  • Confirm rooming rules: families book for 14U and under; shared rooms for 16U+
  • Clarify which costs are "team pay" vs. "player pay" before the season starts
  • Build a payment schedule front-loaded to Aug–Dec (costs hit early)
  • Typical structure: base amount in August, then monthly through December

Tournament & Travel

  • Tournament entry fees, hotel booking, and family logistics are manager-owned
  • Coach travel includes airfare or mileage, rental car, lodging, and per diem β€” see NHS standards
  • Players are never permitted to drive β€” vans require a coach driver
  • Goalies are limited to 2 per shared room given equipment size
  • Coordinate any team dinners or activities β€” clarify who is invited and any added cost

Schedule a pre-season meeting with your coaching staff. Confirm tournament count, playoff expectations, rooming policy, dryland costs, and software requirements.

Open a team bank account. Follow NH Selects rules on required bank, signers, and co-sign requirements. Set up Venmo and Zelle for collections.

Build your season budget using the Team Budget Template and share it with families before the first practice.

Set up your communication channel. Decide with your coach whether your team uses Crossbar, group text, or email β€” then be consistent.

Confirm all players are registered with USA Hockey and have completed their concussion baseline test at baselinetesting.com. No player skates without both on file.
  • You are not the coach. Logistics and communication are your lane β€” lineup decisions, player feedback, and ice time belong to the coaching staff.
  • One weekly email, every week. Clear, short, and with deadlines. Families are busy β€” keep it simple.
  • Never post independently on social media about games, scores, or players. All public-facing content routes through Betsy Turcotte.
  • Finances go through Coach Sikich. Do not collect money, issue refunds, or authorize purchases without explicit club approval.
  • Confirm Crossbar attendance 48 hours out for every practice and game. Chase families who haven't responded β€” don't assume.
  • Parent complaints about coaching decisions get acknowledged, documented, and escalated. Do not try to resolve coaching issues yourself.
  • Concussion protocol is non-negotiable. Any player with symptoms comes off immediately. Return to play is the coach's call β€” not the player's, not the parent's.
  • Monthly financial reporting is required. What came in, what went out, and for what. Send to both families and the club Treasurer.
